We update our Booking Conditions from time to time. These conditions together with your Booking Confirmation set out the terms which apply when you book any Holiday Arrangements with us.
Planet Rail Limited (company number: 06499130) ("Planet Rail", "we", "our" or "us") is a company registered in England and Wales, with the registered office address at Brentwood, Gill Bank Road, Ilkley, England, LS29 0AU. Please read these conditions carefully as they set out our respective rights and obligations.
The combination of travel services offered to you is a package within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018. Therefore, you will benefit from all applicable rights applying to packages. Planet Rail will be fully responsible for the proper performance of the package as a whole.

1.1. "Holiday Arrangement(s)" means the package holiday you book with us, which includes a combination of at least two different types of services for the purpose of the same trip or holiday.
1.2. The "Party Leader" is the primary recipient of any information relating to your booking and accepts these conditions on behalf of all party members.
1.3. "Deposit" means an initial payment (typically 20% of total cost) made to secure the booking. The Deposit is non-refundable unless otherwise specified.
2.1. Provide required booking details via email, phone or our online facility. Payment authorisation is required by phone or online.
2.2. Once we receive your booking and payments in cleared funds, we will send a Booking Confirmation and Invoice.
2.3. Ensure all traveller names match exactly as they appear on their passports.
3.1. Adequate travel insurance is required for your Holiday Arrangement.
3.2. We will not accept bookings without proof of insurance or purchase of our recommended policy.
4.1. Full payment required if booking within 70 days of departure for private train bookings, or 8 weeks for other bookings.
4.2. If paying by deposit, balance must be received within timeframes specified in your Booking Confirmation.
4.3. Failure to pay on time may result in cancellation with charges applied.
5.1. You may cancel at any time by written notice to our offices.
5.2. Cancellation within 14 days of booking confirmation: full refund of deposit and payments.
5.3. Cancellation outside 14-day period: we retain full deposit and any third-party payments made.
5.4. Flight-inclusive bookings: cancellation charge typically 100% of flight cost.
6.1. We may need to make changes or cancel bookings. Most changes are minor.
6.2. For significant changes, you may: accept the change, choose an alternative arrangement, or cancel with full refund.
6.3. Cancellation due to insufficient numbers (less than 15 customers): 8 weeks notice given.
7.1. We do not exclude liability for death/personal injury caused by our negligence or fraud.
7.2. Maximum liability for luggage/personal possessions: £1,000 per person.
7.3. For other claims: maximum liability is twice the price paid (excluding insurance and amendment charges).
8.1. Ensure you have all necessary travel documents (passport, visas, health certificates).
8.2. Follow our Behaviour Policy - failure to comply may result in immediate termination of services.
8.3. Inform us of any medical conditions or special requirements at time of booking.
8.4. You are responsible for any damage or loss caused by your party.
9.1. Report complaints immediately to the relevant supplier and our representatives.
9.2. Contact us within 48 hours if unresolved.
9.3. Written complaints must be submitted within 28 days of return to the UK.
10.1. We are protected by ABTOT (number 5585) and ATOL (number 11962).
10.2. This provides financial protection for refunds and repatriation in case of our insolvency.

11.1. We process personal data in accordance with our Privacy Policy.
11.2. Information may be shared with suppliers and authorities as required by law.
12.1. These conditions are governed by English law.
12.2. Disputes subject to exclusive jurisdiction of English courts.
